This policy explains what personal data TOG collects through theotherguyz.com, why, and what you can ask us to do with it. We only collect what we need to answer a brief.
Who we are
TOG is two companies, and either may handle your data:
- The Other Guyz FZCO, 1302 Goldcrest Executive Tower, Cluster C, Jumeirah Lake Towers, Dubai, United Arab Emirates. Licensed in the DMCC free zone, licence number DMCC-071093.
- The Other Guyz Limited, registered in England and Wales, company number 14253587. Registered office: 151 Wardour Street, London W1F 8WE, United Kingdom. A subsidiary of The Other Guyz FZCO.
If you are in the UK or Europe, The Other Guyz Limited is responsible for your data. Everywhere else, it is The Other Guyz FZCO. For anything about your data, email [email protected] with “Privacy” in the subject line. We have not appointed a data protection officer.
What we collect and why
| What | Where it comes from | Why we use it | Legal basis |
|---|---|---|---|
| Name, work email, mobile, company, industry, budget range, what you need, your brief | The contact form | To reply to your brief, quote, and work with you | Our legitimate interest in answering enquiries, and steps you asked for before a contract |
| Where you came from (a campaign tag in the link) and which capability page you started on | Added to the form automatically | To know which channels bring in briefs | Legitimate interest |
| Anything you write to us | Emails to hello@ or careers@, calls | To answer you. CVs are used only for hiring | Legitimate interest, or steps before a contract |
| Name, email and the time you pick | The “Book a briefing call” page, run on Google Calendar | To set up the call | Steps you asked for before a contract |
| Pages viewed, rough location (city level), device and browser, how you found the site | Google Analytics, through cookies | To see which pages work and improve the site | Your consent in the UK and Europe. Our legitimate interest elsewhere |
| IP address and basic request data | Our hosting provider, on every visit | To serve the site, keep it secure and stop spam | Legitimate interest |
We do not sell your data, we do not use it for advertising profiles, and we do not make automated decisions about you. Analytics never includes what you type into the form.
We will only email you about your brief or our work together. If we ever want to send you news, we will ask first, and every such email will have a way to stop it. The site is for businesses and is not aimed at children.
Who we share it with
We use a small number of trusted services to run the site. Each one handles data only on our instructions.
| Service | What it does for us | Where |
|---|---|---|
| Cloudflare | Hosts the site and runs the contact form | Global network |
| Resend | Sends the form to our inbox and your confirmation email | Ireland (EU) |
| Google Workspace | Our email, where your brief is kept, and the booking calendar | Google data centres, including the US |
| Google Analytics | Visitor statistics | Google data centres, including the US |
| Vimeo | Plays our films, with Vimeo tracking switched off | US |
Our content system holds our project pages only. It never holds form data. The two TOG companies share enquiries with each other, so the right team can answer you. We may also share data if the law requires it, or with a buyer if TOG is ever sold, under the same promises.
TOG works between Dubai and London, so your data may move between the UAE, the UK, the EU and the US. When it leaves the UK or the UAE, we use the protections the law asks for, such as the UK's approved contract terms for international transfers, the UK and US data bridge, or the provider's own approved safeguards.
How long we keep it
Your brief lives as an email in our inbox. We do not copy it into a separate database.
| What | How long |
|---|---|
| A brief that does not become a project | 2 years from our last contact, then deleted |
| Clients and projects | For the project, then 6 years for contracts, tax and accounts |
| CVs | 12 months, unless you ask us to keep it longer |
| Google Analytics data | 14 months |
| Your cookie choice | Until you clear it in your browser |
Your rights
Under UK data protection law and the UAE's personal data law, you can ask us to:
- show you the data we hold about you and give you a copy
- correct it
- delete it
- stop or limit how we use it, or object to it
- move it to another provider
- withdraw your consent at any time, where we rely on it
Email [email protected]. We may need to confirm who you are first. We will reply within the time the law allows, and it costs nothing. If you are unhappy with how we handled your data, please tell us first. You can also complain to the Information Commissioner's Office in the UK (ico.org.uk) or the UAE Data Office.
Keeping it safe
The site runs over an encrypted connection. Form data goes straight to our mailbox, which only the TOG team can open. No method is perfect, but we keep access tight and the data we hold small.
Cookies
We use as few cookies as we can. The site works fully without any of them.
| Name | Set by | What it does | How long |
|---|---|---|---|
| _ga, _ga_* | Google Analytics | Counts visits and tells one visitor from another, without naming you | Up to 2 years |
| tog-consent | TOG (stored in your browser, not a cookie) | Remembers whether you accepted or declined analytics | Until you clear it |
In the UK and Europe, analytics stays off until you press Accept on the banner. Elsewhere it is on by default. You can block or delete cookies in your browser settings at any time, or opt out of Google Analytics with Google's browser add-on.
Our films play through Vimeo with its tracking switched off. The booking page is run by Google and follows Google's own cookie rules. Links to Instagram and LinkedIn take you to sites with their own policies. We do not use advertising or retargeting cookies.
Changes
